Victorian Academy Tennis Policies

1.1 Any person (“the Client) participating in any services offered by The Victorian Tennis Academy shall be taken by such participation to have consented to the Terms and Conditions below.

Any reference to “The Victorian Tennis Academy” includes its business, directors, employees, consultants, staff and agents. Any reference to “physical activity” or “activity” includes but is not limited to exercise sessions with a Victorian Tennis Academy employee, i.e, a group coaching class, private coaching, cardio tennis, use of facilities and equipment along with any other services provided to the participant by The Victorian Tennis Academy.

The Client acknowledges that it is their responsibility to inform their medical advisor of their intention to participate in the Program, and warrants that by their participation that they do so in accordance with the advice of their medical practitioner.

The Client acknowledges that the Program and any exercises carries risks of injury and that they shall not hold The Victorian Tennis Academy responsible as a result of any injuries sustained directly or indirectly to themselves or any other person during or after the Program.

The Client acknowledges that they have informed The Victorian Tennis Academy in writing of any condition (medical or otherwise) that would affect their ability to engage in any physical activity or the Program offered by The Victorian Tennis Academy and that they will inform The Victorian Tennis Academy in writing of any changes to their circumstances.

The Client acknowledges that it is their responsibility to inform their medical practitioner prior to engaging in the Program on the premises of The Victorian Tennis Academy.

The Client acknowledges that during the conduct of the Program some physical contact may occur between the Client and members of The Victorian Tennis Academy and/or other members of the Program and consents to that contact being made.

The Client acknowledges that they are responsible for any damage caused to the facilities or equipment of The Victorian Tennis Academy as a result of their willful act or negligence.

Subject to the law, the Client releases The Victorian Tennis Academy Physio from all losses, claims, costs, liabilities, expenses, suits, damages and action as a result of (but not limited to):

All prices quoted for goods and services include GST, unless otherwise specified.

The Victorian Tennis Academy from time to time, vary its prices to take account of, amongst other things, any change in the cost of providing the goods and services. This will not affect services that have been purchased prior to change.

Our dedication to providing a duty of care to our clients means that sometimes we may have to cancel lessons. In the event of this, we will always send an SMS [ideally] 60 minutes before lessons are due to begin. Flooded courts & extreme heat (37+ degrees) are examples of situations in which lessons may be cancelled. Lessons will be on unless indicated otherwise by VTA staff.

In the event of a cancellation of Junior Group coaching a make up lesson can be booked online through the Customer Portal through the link HERE.

Cancellations of Adult Group coaching due to wet weather will be communicated via text. A credit will be available on your account for you to rebook for another time.

  1. Contract term
    i) Initial minimum term is 12 weeks. All passes run on a fortnightly debit, and are continuous until notice is given
    ii) Initial payment: a payment for ‘2 cycles’ at the commencement of the contract allowing players to book ahead
    iii) All passes will be automatically suspended during the Christmas/New year break [one fortnightly cycle] when coaching and cardio tennis does not run, this will vary year to year and you will be notified ahead of time. Additional pass benefits will still be valid during this period.
  2. Cancellations
    i) Cancellations cannot be made within the initial 12-week term unless exceptional circumstances apply (e.g Injury)
    ii) 28 days notice is required for any cancellations, with an email sent to admin@victennisacademy.com.au
    iii) All pass holders are permitted to pause their pass for one cycle per year. For longer periods of holidays or illness, players are recommended to cancel their pass and re-join at a later date subject to availability
    iv) Suspension: In the event of injury, passes can be suspended with documentation from the doctor or physio. All pass holders are permitted to pause their pass for one cycle per year. 3. Washouts
    v) In the event of cancelled sessions/washouts, session passes are valid for 28 days giving players sufficient time to book an alternative session.
    vi) In exceptional circumstances, a pass expiration extension can be requested and provided at the discretion of VTA.

Private lessons are purchased in a ’10 lesson package’.

  1. All Peak time slots (3:30-8:30pm Monday to Friday, and Saturday 8-12pm) need to purchase a 10 lesson package. This secures your timeslot for the term. Outside of this time, casual lessons can be organised if preferred.
  2. All 10 lesson packages are valid for three months

    i)
    In the event of a washout, this expiration will be extended.
    ii) in the event of a coach cancellation due to illness, this expiration will be extended.
    iii) Should the player need to cancel for whatever reason, a make up lesson can be organised during your package dates.
    iv) In the event of injury, a private lesson package can be deferred by providing a medical certificate to accounts@victennisacademy.com.au (you’re time slot will not be secured)
  3. For insurance purposes, payment for lessons must be made prior to entering the court.
  4. Class Packs are non-refundable except at the sole discretion of The Victorian Tennis Academy. Purchases can be transferred (i.e, to a family member or to another program)
  5. Private lessons required a minimum of 24 hours notice to avoid forfeiting fees for a late cancellation.
    i) Notice should be given via email (admin@victennisacademy.com.au) or by calling our office.

Adult group classes

Cancellations must be made 12 hours prior to the start of your session via the Mindbody app.

Failure to do so will result in your Mindbody pass being forfeited.

Private lessons

24 hours notice is required for cancelling a lesson by emailing the venue at which you are attending lessons. Failure to provide 24 hours notice will result in a charge for the session.

Junior classes

Cancellation of Junior classes requires 14 days notice prior to the end of the term. Cancellations are to be emailed to the venue at which the enrolment has been made.

Adult coaching passes

Cancellation of Fortnightly Playing Passes requires 28 days notice prior to the next scheduled debit date. Cancellations are to be emailed to admin@victennisacademy.com.au.

Court Hire

Cancellations of court hires must be made 12 hours prior to the start of the session by contacting the venue office. If no answer please leave a voice message. Failure to do so will result in a charge for the session. Refunds of court hires are not provided, but bookings can be rescheduled to an alternative available day or time by contacting the office.

The Client acknowledges that The Victorian Tennis Academy reserves the right to cancel, update or vary the Program, including but not limited to, timing, venues, terms, prices, fees, format or instructors in relation to its services without notice at its sole discretion.

The Client acknowledges and accepts all of the conditions contained herein, and forever releases, discharges and indemnifies The Victorian Tennis Academy from any loss caused to any party in relation to a claim regarding breach of these Terms and Conditions.

The Client agrees to any official photography, and use of images by The Victorian Tennis Academy for professional purposes. Notification must be given in writing if you do not consent to any form of photography.

As a member of the Victorian Tennis Academy coaching program you also become part of the Tennis Australia Tennis Connect program as a Hot Shots or Cardio member. By joining the Victorian Tennis Academy Program you consent to the collection, storage, use and disclosure of my personal information in accordance with the tennis privacy statement and the tennis privacy policy, which contains information about how I may access and seek correction of my personal information, how I can complain about a breach of my privacy, and how the complaint will be dealt with.

The VTA coaching program runs for 4 terms per year. We have a range of coaching programs to suit players from the age of 4 years old +. Students are enrolled in a class suitable to their age and experience; they are assessed and placed in an appropriate class. Regular assessments are carried out throughout the term and students are progressed when deemed ready by our qualified coaches. Parents are encouraged to watch lessons, but not enter the court unless asked by the coach.

Junior sessions are booked in for the term (8-11 weeks) and payment for the whole term must be made Students are enrolled in a class suitable to their age and experience; they are assessed and placed in an appropriate class. Regular assessments are carried out throughout the term and students are progressed when deemed ready by our qualified coaches. Parents are encouraged to watch lessons, but not enter the court unless asked by the coach.

Term 1 2022: Monday 31st Jan- Sunday 10th April 

Term 2 2022: Tuesday 26th April – Sunday 28th June

Term 3 2022: Monday 11th July – Sunday 18th September

Term 4 2022: Monday 3rd October – Sunday 18th December

During your enrolment for the term, juniors are entitled to the following Member Benefits:

  • 30% off Court Hire bookings
  • 10% off Pro Shop items
  • 10% off Birthday Parties

All junior bookings are locked in for the term and enrolments are automatically rolled over to the next term. If you wish to withdraw from the termly junior lessons VTA will require 14 days notice prior to the first lesson of the term. Cancellations are to be emailed to the venue at which the enrolment has been made.

If you are away for any reason it is essential that you notify absence on the Customer Portal HERE. 

This will entitle you to a make up lesson.

i) Make up lessons can be used on an alternate day of the week at any stage throughout the term

ii) Make up lessons cannot be carried over into a new term

Refunds for missed classes are not given as your spot for the term has been secured for the duration.

If you have an extended illness, injury or holiday please talk to the office to discuss options.

Missed classes can only be used in different terms if agreed to prior with management.
